YOUR ROLE

We have an exceptional opportunity for an experienced Executive Assistant to provide dedicated and strategic administrative support to the Managing Director our USL Medical business, located in Avondale.

The ideal candidate for this role should possess previous experience in an executive support position and demonstrate a high level of integrity, confidentiality, discretion, as well as being personable and proactive.

In this position, you will be required to exhibit flexibility, exceptional interpersonal skills, experience in project coordination, and the ability to effectively collaborate with individuals at all levels of internal management and staff, as well as external clients, suppliers and vendors.

 

Responsibilities:

  • Manage extensive calendar and email correspondence, ensuring tasks are completed and escalated as needed.
  • Brief and prepare the Managing Director for meetings, liaising with internal and external stakeholders and negotiating at senior levels.
  • Attend senior meetings, manage agendas, take minutes, and follow up on action points.
  • Provide support to the leadership team for day-to-day operations and projects.
  • Draft correspondence, create presentations, and prepare monthly reports.
  • Support the leadership team with communications.
  • Implement process improvements and maintain a continual improvement mindset.
  • Manage travel schedule, bookings, itineraries, and expense management
  • Manage supplier relationship for travel (air, rentals, accommodation)
  • Maintaining legal files
  • Training and supervising other support staff
  • Customer relations
  • Company Vehicle Fleet Management
  • Onboarding for new staff and ensuring all processes and inductions completed, as well as staff exiting processes
  • Event Management for all company functions

Skills and Experience

  • Strong written and verbal communication skills
  • Ability to work autonomously and in a team
  • Advanced interpersonal skills with the ability to build effective relationships across all levels
  • 5+ years of experience working in an Executive Assistant capacity
  • Advanced MS 365 Office skills
  • Organised and methodical with great attention to detail, accuracy, and ability to anticipate needs
  • Tactful professional with effective stakeholder management and engagement skills
  • Effective interpersonal skills and ability to build strong, open, collaborative, and trusting relationships
