About the Canva Ph Finance Team and the Payroll Team

The Canva Ph Finance Team serves as our local team for Canva’s Philippine entity. Its subteams include accounts payable, employee travel & expense, general ledger, financial reporting, analysis & forecasting, and payroll. These subteams work closely with their global counterparts as well as other related local teams in achieving our crazy, big goals.

The Payroll Team is an integral part of the local Finance Team as well as Canva Philippines. It handles the payroll process of our ever-growing number of Ph-based Canvanauts. With payroll being one of the most critical functions, the team plays a huge part in making Canva one of the best places to work in Asia. We strive to ensure that every Canvanaut is paid timely and accurately. 

About your role

Reporting to the Canva Ph Finance Country Lead and working together with the Payroll Specialist, your role is primarily responsible for supporting the overall preparation of our payroll calculations, reports, and related benefits on a fortnightly basis.

What this role will do...

  • Ownership of the timekeeping & overtime reports. This includes understanding how our payroll platform works and resolving employee payroll disputes. 
  • Ownership of the payroll deductions such as the usual statutory contributions and other deductions deemed necessary. This includes working together with the People Team/HR in ensuring that all statutory remittances & deductibles, such as on government loans, are incorporated before distribution.
  • In charge, on the payroll side, of incorporating all employee reimbursements in our payroll platform. This includes working together with our Reimbursement Accountants, making sure that employee reimbursements are properly accounted for, subjected to tax correctly and included in the proper payroll payout dates.
  • Primary person responsible for other payroll-related pay runs such as offboarding/final pays and maternity benefits. This includes working together with other teams in ensuring these are calculated correctly and released in a timely manner.
  • Work closely with our payroll bank partners and at the same time assist our newbies with their payroll bank account opening. This is done remotely.
  • Understand and apply Withholding Tax on Wages (WTW), its proper remittance & reporting to the taxing authorities and ensure that Canva Ph is compliant with all legal pay-related requirements
  • Our champion for our payroll platform in terms of timekeeping and overtime filing. This includes providing expert assistance to our Canvanauts in navigating the platform.
  • Collaborate with various teams at Canva (e.g., the global payroll team, HR ops team, helpdesk/service desk, the GL team, Total Rewards and other payroll stakeholders) to ensure that all of our BAUs are met and shared goals are achieved
  • Be a part of the team that engages our various auditors (i.e., BIR, Department of Labor & FS auditors)
  • Assist with scaling the payroll process through further automation of our current processes. This involves the preparation of process documents and may, in the future, involve scoping & testing of new automations.

We'd love it if you have...

  • At least 2-3 years of relevant Philippine payroll experience in areas of timekeeping, overtime, deductions and its related compliance requirements
  • Intermediate to advanced spreadsheet skills
  • Strong background in personal data privacy and best practices 
  • Experienced & comfortable in taking care of large volumes of data
  • A keen eye for detail and strong analytical capabilities
  • Experience with payroll automation softwares & ERP systems is not required but is a plus!
  • Maturity in keeping compensation records and confidential information protected
  • Outstanding communication, interpersonal, and stakeholder management skills - delivering a great service to all levels of employees
  • Ability to take ownership of processes and eagerness to apply previous takeaways to new challenges
  • Very collaborative and solution-focused approach with a can-do attitude
  • A self-starter, able to multitask and work within set deadlines
  • Ability to adapt to a constantly evolving environment
