Where the team fits in
The Enterprise Resilience team is made up of both our Enterprise Tech team and Group Security team and is responsible for making all REA employees happy and productive while keeping them secure by empowering them with technology. Our lean and agile team is home to some of the world’s best software, hardware and cloud engineers. Our continued investment in technology is marked by a passion to create the best experience for our employees, who in turn create the best property experiences for our large numbers of consumers and customers. The Enterprise Resilience team supports all our lines of business, functional units and overseas ventures.
As the Team Assistant you will be driven to run your own show and love working in a fast-paced environment where you are an absolute pro at multi-tasking, and organisation is your middle name! We are looking for someone with a high level of accuracy and having worked in a similar environment is a big bonus.
What the role is all about
Enhancing the productivity of the Enterprise Resilience team by assisting with activities such as: Diary management, meeting preparation (bookings, required prep documents, minutes and agendas, meet guests, prepare meeting rooms), develop schedules, collating information, reports and plans, and coordination of team and leadership meetings
Managing the calendar, travel management and expenses for the CISO & GM of Enterprise Resilience, Executive Manager Enterprise Tech and Executive Manager Security. As well as other senior leadership team members as needed
Management of purchase orders including, raising, and receipting in NetSuite
Assist with tracking and report on purchases against the Enterprise Resilience budgets
Oversee ordering and disposal of products and services within the team as well as maintaining asset management records
Supporting EA to CTO with coordination of small & large events
Communications across the team, group and company when required
Developing good relationships with key stakeholders across the broader business and externally
Continually looking for opportunities to develop and improve systems and procedures to maximise team efficiencies
Help and supporting onboarding new starters in the team
Who we’re looking for
Someone with a few runs on the board as a team assistant or EA, supporting a large team
Adapt and thrive in an evolving environment
Experience using NetSuite or other top tier financial systems
High proficiency in Microsoft Office (Word, Excel, PowerPoint and especially Outlook). If you have had exposure to Zoom, Slack and SharePoint that would be a bonus
Experience in diary management, crafting meeting agenda and taking minutes
Experience organising team meetings, events, and engagement activities for teams. Having experience in event management is a big plus
Ability to manage & accomplish multiple projects within set timeframes and budgets with little supervision
High attention to detail with strong written communication skills, including exceptional grammar and proof-reading skills
Looks at tricky situations through a solutions-focused lens
Work productively in a fast paced and agile environment
Play an active role in the internal EA/TA community
